Candidate Privacy Notice

If you are a candidate — or someone we have contacted about a role — this explains exactly what happens to your information, who sees it, and the control you have over it.

Effective September 24, 2026Last updated October 7, 2026

Who this notice is for

This notice applies to you if you are:

  • a candidate who has contacted us or sent us a résumé;
  • someone we have identified and contacted about a role;
  • a candidate a client has referred to us; or
  • a referee who has given us a reference about a candidate.

It supplements our Privacy Policy, which covers everything not addressed here, including our full list of your rights and how we protect information.

Our commitments to you

These are the principles behind everything in this notice.

  1. Your résumé is shared only with your permission. When you agree to work with us, we agree with you which companies and roles you’re interested in, and any to avoid. We share your details with clients within that scope, and ask you first before going outside it. You can change it at any time.
  2. People make the decisions. We do not use AI screening, automated ranking or algorithmic rejection. Every assessment of a candidate is made by a person.
  3. We keep your information only as long as we say we will, and we ask before keeping it longer.

What we collect

  • Identity and contact details — name, email address, phone number, city or region, and professional profile links.
  • Your career history — résumé, employment history, education, qualifications, certifications, skills and achievements.
  • What you want — the roles, level, locations and working arrangements you are interested in, your timing, and your compensation expectations.
  • Work authorization — whether you are authorized to work in the relevant country, where a role requires it. We do not need to see immigration documents, and we do not ask for them.
  • Assessment information — our notes from conversations and interviews, and our view of your fit for a role.
  • References — what referees tell us, with your agreement.
  • Client feedback — what a client tells us after interviewing you.

Information we do not ask for

We do not ask for your date of birth, Social Security number, marital or family status, health information, religion, a photograph, or details of your race, ethnicity, sexual orientation or other characteristics protected by law. Please leave these out of anything you send us. If they arrive anyway — on a résumé, for example — we do not use them in assessing you, and we remove them from what we share with clients where we can.

Background checks

We do not carry out background, criminal record or credit checks. If a client requires one before hiring, the client or its screening provider carries it out, and must obtain your separate written authorization as the law requires.

Where we get it

  • From you — in conversations, emails and anything you send us.
  • From public professional sources — such as public professional profiles, company websites, conference speaker lists and industry publications. When we find you this way, we tell you where we found you the first time we contact you.
  • From people who know your work — referrals from colleagues, and referees you have agreed we can speak to.
  • From our clients — interview feedback, and sometimes a client referring you to us.

We do not buy candidate data and we do not use automated scraping tools.

If you are in the EEA or UK and we first contact you after finding your details in a public source, we will give you the information in this notice within one month, and at the latest in our first message to you.

Who we share it with

  • Clients — only with your permission, and within the scope you agreed with us. We share what the client needs to assess you: typically your résumé, our summary of your fit, and your compensation expectations and availability.
  • Service providers that store and process information on our behalf, such as our email and file-storage provider. They cannot use it for their own purposes.
  • Professional advisers and authorities, where required by law or to defend a legal claim.

We do not sell your information or share it for advertising. We do not post your résumé to job boards or databases.

Once a client has your information, the client handles it under its own privacy notice. We choose clients we trust, and we ask them to use candidate information only for the role in question.

Keeping your details for future roles

When a search you were part of ends, we will ask whether you would like us to keep your details for future opportunities. If you say yes, we keep them for the period below and check in with you before it ends. If you say no — or do not answer — we delete them, other than a brief record that we were in touch, kept so we do not contact you again about the same role.

We do not sell or share candidate information, and we use sensitive personal information only to provide the services you asked for.

Equal opportunity

We assess every candidate on their skills, experience and fit for the role. We do not discriminate on the basis of any characteristic protected by law, and we will not accept a search that asks us to. Read our Equal Employment Opportunity Statement. If you need an accommodation at any stage of the recruiting process, tell us and we will arrange it with the client.
